SmartLeaseFlow .SmartLeaseFlow is an AI-powered property management platform for independent landlords. Landlords use the service to manage their properties, units, tenants, and leases, collect rent online, automate routine communications (rent reminders, late-rent follow-ups, lease renewals), triage maintenance requests, and access AI-assisted tools for drafting documents and analyzing portfolios. Tenants receive a connected portal where they can pay rent, view their lease, and submit maintenance requests.

14. BANK ACCOUNT INFORMATION VIA PLAID
We use Plaid Inc. ("Plaid") to enable you to securely connect your bank account to our Services. When you choose to connect an account, Plaid collects your financial information — including account details and transaction history — and shares it with us so we can provide reconciliation, income and expense tracking, and tax-categorization features. Our use of this information is limited to providing these Services, and we do not sell it. Your use of Plaid is governed by Plaid's End User Privacy Policy, available at https://plaid.com/legal. You may disconnect a linked bank account at any time, after which we delete the associated data and revoke Plaid's access to your account.Appendix A — AI Features & Data Processing
This appendix describes how SmartLeaseFlow processes property and tenant data through artificial-intelligence sub-processors when you use AI-powered features (LeaseAI chat, AI lease drafting, AI email templates, AI maintenance triage, AI column mapping during imports, AI tenant insights, risk scoring).
Sub-processors
We currently send prompts to OpenAI (OpenAI LLC, San Francisco, CA, USA) under their Business Terms. OpenAI does not train models on data sent via their API. We do not currently use any other AI provider for production traffic. If we add additional providers (e.g. Anthropic, Google), this section will be updated and existing customers will be notified via email before that change takes effect.
What data is sent
When you use an AI feature, the following data from your organization is included in the prompt sent to the sub-processor:
- Portfolio aggregates (property count, unit count, occupancy %, monthly rent roll).
- Tenant names, lease start/end dates, monthly rent, status, property + unit assignments.
- Tenant contact details (email, phone), emergency contacts, vehicle and pet info — UNLESS your organization has enabled PII Redaction in Settings → AI Preferences.
- Recent payment records (amounts, dates, status, tenant names).
- Open and recent maintenance tickets (title, description, status, age, property + tenant references).
- Anything your team types into an AI prompt or chat field — sent verbatim.
PII Redaction (opt-in)
Organizations may opt into PII redaction at Settings → AI Preferences → Privacy. When enabled, tenant emails, phone numbers, emergency contacts, vehicle info, and pet info are replaced with the sentinel [redacted] before any prompt reaches the AI sub-processor. Last names are shortened to a single initial. The original data remains in your organization's database and is visible in your dashboard; only the data flowing to the AI provider is altered.
Tenant data we do NOT send to AI
- Passwords, password hashes, password-reset tokens.
- Payment-card details (handled by Stripe, never seen by SmartLeaseFlow).
- Bank account or payout routing information.
- SSNs, government IDs, or any sensitive identifier — SmartLeaseFlow does not collect these.
- Files you upload as document attachments (only their filenames and types may be referenced).
Retention & deletion
AI conversation history is retained on your account until you delete a conversation (LeaseAI sidebar → trash icon) or close your account. Sub-processor retention is governed by the sub-processor's own policy — for OpenAI, prompts sent via their API are retained for up to 30 days for abuse monitoring and then deleted, with no training use.
Your rights
You may opt out of AI features entirely by not using the LeaseAI page or AI-powered buttons (no data is sent to AI sub-processors unless you actively trigger an AI feature). To request deletion of AI conversation history under GDPR / CCPA, contact privacy@smartleaseflow.com.
Last updated: this section is versioned with our code. If the content here ever conflicts with the main policy above, the most-restrictive interpretation applies in your favor.
